Vidya Vault — Privacy Policy
In one paragraph
Vidya Vault is used by schools. A teacher scans answer sheets with the app; the sheets are graded, and a teacher checks and finalises the marks. The school decides whose data goes in and why; we hold and process it on the school's instructions. We do not sell data, we do not advertise, and we do not use a student's work to train anyone's models.
Who is responsible for what
The school or institute is responsible for the student data it puts into Vidya Vault — it decides what to collect and for how long. Divyavyoma Technologies Private Limited processes that data only to run the service on the school's behalf, under our agreement with them.
What the app collects
From the teacher using the app
- Name and email address, held because the school created the account.
- A sign-in token kept in the phone's encrypted storage so the app does not ask for the password every time.
Entered by the school, and shown in the app
- Student names, roll numbers, class and division.
Created by using the app
- Photographs of answer sheets taken with the phone's camera, or imported from its gallery.
- Marks, the grader's notes, any mark a teacher changes, and the reason they gave.
- Which teacher checked and finalised a sheet, and when.
What the app does not collect
- No location. No contacts. No advertising identifiers. No analytics on what a teacher taps. The app has no adverts and no in-app purchases.
How it is used
Only to scan, grade, check and report on the school's own exams: to show a class list, to grade a scanned sheet, to let a teacher correct a mark, to produce a report, and to keep the school's account secure.
Who else sees it
- Google Cloud (India region) — hosting, storage of the scanned sheets and reports, and the database.
- Google Gemini — the grading model reads the scanned answers and returns marks and notes. Content sent for grading is not used to train Google's models under the terms that apply to this service.
Nobody else. We do not sell data, we do not share it for advertising, and we do not pass it to other schools. We disclose data to the authorities only when the law requires it.
Where it is kept, and for how long
Data is stored in India. Scans, marks and reports remain for as long as the school's account is active, unless the school asks for earlier deletion. When an agreement ends, the school's data is deleted within 90 days, except where the law requires us to keep a record longer.
Security
Everything is sent over HTTPS. Scans are stored in Google Cloud Storage and reached only through short-lived signed links. On the phone the app locks itself with the device's fingerprint or screen lock, or its own PIN, asks again before a mark can be changed, and blocks screenshots of marks and answer sheets. Access to the school's data is controlled by the roles the school itself sets.
Children's data
Answer sheets are children's schoolwork. The app is used by teachers and school staff, not by students: it is not directed at children and has no child-facing features. Children's data enters the system only because the school puts it there, and we handle it on the school's instructions.
Your rights
Students and parents should ask their school first — the school controls the record and can correct or remove it. For anything we hold as processor, or to raise a complaint, write to privacy@divyavyoma.cloud.
Deleting an account: accounts are created and removed by the school's administrator or by us at the school's request. To have an account and its data deleted, write to privacy@divyavyoma.cloud from the address on the account, or ask your school administrator. We respond within 30 days.
Changes
If this policy changes we will update this page and the date at the top, and tell the schools using Vidya Vault.
